Advancement Database Associate

This position will be responsible for analyzing, maintaining, documenting, testing and deploying application programming solutions for the needs of University Advancement Division.  The Advancement Database Associate will serve as database administrator, perform data imports and exports, develop reports using Crystal Reports and SQL, train staff on the usage of constituent management software (Millennium), improve and maintain database integrity, and develop and document system processes and procedures.


Database Management

  • Provide daily and strategic management, guidance and support of the Millennium database
  • Maintain the integrity and accuracy of the database by developing and administering quality assurance measures, overseeing user training, security, and access
  • Perform global changes and imports

Reporting, Requests, and Data Analysis

  • Provide support to the University Advancement division staff through the development of reports, queries and mailing lists using Millennium, Crystal Reports, and SQL
  • Provide information analysis to support organizational decisions

Procedures and Documentation

  • Provide strategic direction on data storage and withdrawal
  • Develop and implement procedures and protocols on database use
  • Maintain a policy manual and documentation on procedures for Millennium usage

Training and Support

  • Assess and identify training needs for staff related to how to manage and extract data from the Millennium database; creatively develop and deploy training opportunities to staff
  • Support colleagues by investigating problems and recommending solutions relative to any and all database functions, leveraging IT and Abila support relationships as necessary


  • Proactively maintain knowledge and expertise in Millennium, SQL, Crystal Reports, and relational database concepts
  • Monitor relevant publications to keep up to date on systems, technology, fundraising trends, and other professional development topics relevant to the team
  • Work with Director of Development and IT on evaluation and integration of new technologies
  • Participate in the testing of Millennium upgrades


  • Maintain excellent relations and serve as a liaison between Advancement Services and other departments within the Mount St. Mary’s community in order to promote effective collaboration and data sharing


  • B.S. in computer science or related fields
  • 3-5 years of experience in highly analytical roles with intermediate to advanced knowledge of SQL and relational database concepts            
  • Experience with creating custom reports using Crystal Reports            
  • Demonstrated understanding of data analysis and presentation along with the ability to translate end user requirements into technical specifications
  • Ability to comprehend, develop and create written protocols and procedures
  • Experience providing training and consultation to a wide variety of audiences
  • Strong organizational, analytical and problem solving skills, with ability to think creatively and strategically in a collaborative environment
  • Excellent interpersonal, diplomatic, and communication skills, and the ability to foster productive working relationships with a range of internal and external constituents
  • Well organized, attentive to detail, ability to prioritize work load and anticipate and meet deadlines in a multi- project, deadline driven environment
  • Ability to handle confidential material with integrity, discretion and security           
  • Knowledge and concern for Catholic higher education


The Advancement Database Associate is a member of the Advancement Services staff reporting directly to the Director of Development.
