Conferences and Special Programs Manager

GENERAL DESCRIPTION:

The Conferences & Special Programs Manager develops and manages the business plan to ensure the efficient use of available resources to serve external customers for conferences and special programs. The Manager oversees the process to effectively capture the revenue from outside groups and the costs incurred to serve external customers.

MAJOR TASKS:

  1. Manages the external conference services functions including: 
  • Scheduling university resources and space
  • Entering into contracts with customers
  • Organizing logistics and all event details
  • Helping execute the event and manage risk while the group is on campus
  • Generating customer invoices
  1. Develops and manages the external customer business plan.
  2. Uses activities based costing to report and maximize net revenue opportunities from   external groups.
  3. Supervises three summer conference assistants.
  4. Effectively administer the Event Pro scheduling software program.
  5. Serves as Co-Chair on Campus Events Committee when the Director is not available.
  6. Maintains strong customer centric philosophies.
  7. Assists Director with hiring, training, supervising and evaluating appropriate staff.

MINOR TASKS:

Other duties as assigned.

POSITION AUTHORITY:

The Conferences & Special Programs Manager reports directly to the Director of University Operations who reports directly to the Chief of Staff. The Conferences & Special Programs Manager is the immediate supervisor to the Conference Assistants.

MINIMUM QUALIFICATIONS:

Bachelor degree required. Experience in conference services, higher education administration or similar organizational experiences preferred. Occasional weekend and night-time hours are required. Proficiency with Microsoft Office Suite Programs and excellent written and oral communication skills required. Successful candidate must be able to multi-task and meet short-term deadlines. Ability to build collaborative partnerships with external constituencies and provide excellent customer service is imperative.
