Administrative Assistant - Alumni Engagment

Minimum Pay Rate:  $11.00 per hour
Work Schedule:  40/hours per week, Monday-Friday


Essential Position Functions:

Support for Alumni Engagement Office:

  1. Manages all three scholarships that run through alumni office, from the beginning request for applications and the final notifications to recipients.
  2. Arranges for appointments; makes travel plans, creates itinerary for alumni visits.
  3. Responsible for overseeing and coordinating the Alumni House reservations, maintenance, and upkeep.
  4. Creates and oversees data analytics for annual giving and alumni engagement initiatives regarding class giving and alumni participation in events. 
  5. Manages and produces pledge reminders.
  6. Coordinates mailings and printing for special events, invitations and special appeals.
  7. Manages relationship between the Marketing and Alumni Engagement, including oversite of project management software.
  8. Manages supply needs and ordering of requested material for the Alumni Engagement Office.
  9. Sets up meetings; finds locations, investigates costs, and manages responses and specifics of special events.
  10. Looks up information on donor management system, enters coding information to help generate reports. Updates information as needed.
  11. Supervises work study students in areas of filing, copying, and mail preparation as well as other office work.

Marginal Functions:

  1. Performs routine tasks including typing, proofreading, answering phones, correspondence to staff through e-mail and memos, filing.
  2. Other duties as assigned.

Special Knowledge:

  1. Computer knowledge: data entry skills and knowledge of Microsoft Office tools including Word, Access, Excel and PowerPoint. Familiarity with Data Base Management preferred.
  2. Must be familiar with and adhere to all the safety rules and regulations for the College Safety Policy which apply to the work environment.

Minimum Qualifications:

  1. High School diploma or GED equivalency
  2. Computer experience (Word, Excel, desktop publishing and database management) required.
  3. Outstanding organizational skills and strong written and oral communication skills.
  4. Ability to follow directions and attention to detail.
  5. Experience in business environment and with administrative duties.
  6. Ability to maintain confidentiality on various development prospects and administrative office matters.
  7. Overtime may be required.
