Visitor Relations Associate (Communications)

Minimum Pay Rate:  $10.10/hour
Works Hours: Part Time 15 hours per week:  Sunday/Monday 9 a.m. to 4:30 p.m.

 

GENERAL DESCRIPTION:

The Visitor Relations Associate oversees and enhances the day-to-day hospitality efforts at the Welcome Desk in the Miller Family Visitors Center located at the National Shrine Grotto of Our Lady of Lourdes.

This position performs customer service duties for our visitors. Responsibilities include answering phones, entering pertinent donor information into forms, inputting contact information, shuttling visitors to and from parking lot and Grotto Cave.

MAJOR TASKS:

Hospitality:

  • Provide friendly, effective customer service and information to all guests
    • Greet visitors with a smile, say “hello” and offer to answer any questions they may have
    • Answer phones in a friendly manner, assist with the visitor’s question or direct them to another associate who can help
  • Serve as a resource in providing visitors attraction information such as history, highlights and location details of the National Shrine Grotto, Mount St. Mary’s University and local restaurants.
  • Shuttle visitors to and from parking lot and visitors center
  • Coordinate in collaboration with the volunteers, security, custodial, physical plan and other applicable departments to maintain facility and visitor needs; monitoring the main lobby, surrounding areas and restrooms
  • Assist visitors needs in naming opportunity contracts, candle orders, and Mass enrollments
  • ​Have ownership of the Welcome Desk by ensuring it is neat, organized and clean in appearance

Communications:

  • Assists Communications Manger in
    • entering data into CRM system such as emails, prayer requests, visitor sign-ins and testimonials
    • creating promotions such as fliers, digital slides, posters and social networking posts
    • maintaining web site pages, event calendars and email communication

MINOR TASK:

  • Assist in cultivation of visitors by attending special events when requested by the Director of the National Shrine Grotto
  • Attends weekly meetings with team members to assess progress, delegate tasks, assess work load and assign as needed, provide feedback for individuals.
  • Perform other duties assigned by the Communications Manager.

POSITION AUTHORITY:

This position directly reports to the Communications Manager.  

MINIMUM QUALIFICATIONS:

Minimum of two years of related experience, preferably in higher education or nonprofit environment preferred.

REQUIRED KNOWLEDGE/SKILLS:

  • Exceptional written and interpersonal communication skills
  • Exceptional organizational skills
  • Ability to maintain composure and flexibility in stressful, deadline driven situations
  • Resourcefulness, attention to detail and follow-through
  • Ability to manage and organize multiple tasks effectively in a dynamic, fast-paced environment
  • Proven ability to work both independently, and as part of a team with results oriented approach
  • Strong computer skills; proficiency in Microsoft Office
  • Ability to be persistent in tasks
  • Ability to give substantial feedback on given responsibilities
  • In-depth knowledge of Roman Catholic Institution, with its cultures and structure, and activities
